Every project.
One platform.

Leads, estimates, schedules, timesheets, and invoices in one system instead of five tools and a spreadsheet.

One record, five stages

Lead contact, source, value Estimate cost basis, margin, quote Plan tasks, people, baseline Deliver progress, changes, hours Invoice bill, collect, reconcile

Built in Microsoft 365 and Dataverse Two-way QuickBooks sync Role-based access control Your tenant, your data

The platform

Modules that already know
about each other.

Everything sits on one project record. Approve a timesheet and the project's cost, its margin, and its next invoice all move at the same time. No exports, no re-keying, no month-end reconciliation ritual.

One record, from first lead to final invoice

Most teams stitch a CRM to a scheduler to a timesheet tool to an accounting package, then spend every Friday making the numbers agree. Planvio keeps them in one place so they cannot disagree.

CRM and estimating

Track leads and customers, then build a real cost basis and turn it into a priced proposal without leaving the record.

Planning and scheduling

Break work into tasks and work packages, assign people, set a baseline, and lock it once it is approved.

Delivery and change control

Progress updates, change orders, variance analysis, risks, and safety records, each routed to the right approver.

Timesheets, workforce and HR

Crews and staff log hours against real tasks. Managers approve once, and the hours flow through to cost, payroll, and the customer invoice. Capacity, skills, and allocations stay in the same system as the plan.

Finance and accounting

Budgets, actual costs, overhead allocation, accounts payable and receivable, margin by project, and invoices that push straight into QuickBooks with the payments coming back the other way.

How work moves through Planvio

Capture

A lead arrives with its contact, source, and value. Nothing gets retyped later.

Quote

Build the cost basis from real rates, add margin, and send a priced proposal.

Plan

Turn the accepted quote into tasks and assignments, then approve the baseline.

Deliver

Track progress, hours, costs, and changes against that baseline as work runs.

Bill

Approve the costs, raise the invoice, and let the books reconcile themselves.

Built for project work,
not for one industry.

A sprint and a site visit are the same shape of problem: scoped work, assigned people, tracked hours, and a client who wants to know where the money went.

A software team working together at a desk

Software and IT teams

Agencies, consultancies, and internal delivery teams running billable work.

  • Quote a statement of work from real blended rates
  • See utilisation and capacity before you sell the next project
  • Bill time and materials or fixed price from the same timesheets
A field crew reviewing plans on site

Field and services teams

Contractors, installers, maintenance, engineering, and facilities operations.

  • Site assessments, photos, and reports attached to the job
  • Change orders and variances approved before they become disputes
  • Safety records and non-conformance tracked against the same project

Replaces the stack you
are already paying for.

Instead of

  • A CRM for leads and customers
  • A scheduler for tasks and Gantt charts
  • A timesheet tool for hours
  • A spreadsheet for estimates and margin
  • A second spreadsheet for the first one

You get

  • One project record every module writes to
  • One set of rates driving cost, price, and payroll
  • One approval trail, auditable end to end
  • One place to answer "is this job making money"
  • One login for the whole team

What changes

  • Month-end stops being a reconciliation project
  • Margin is visible while you can still act on it
  • Approvals happen in the system, not in email
  • New staff learn one tool instead of five
  • Your books match your projects by default

Questions we get asked

Is this only for construction or field companies?

No. Planvio was built to handle the hardest version of project work, which happens to involve crews, site records, and heavy cost tracking. That same structure fits software delivery, consulting, engineering, events, and manufacturing. You switch off the modules you do not need.

Do we need Microsoft 365 to use it?

For the edition available today, yes. Planvio runs on the Microsoft Power Platform, so each customer needs a Microsoft tenant and Power Platform licensing, which is billed by Microsoft. Planvio Cloud removes that requirement and is in development. Join the waitlist and we will price it for you first.

Does it connect to QuickBooks?

Yes, in both directions. Estimates, bills, and invoices push from Planvio into QuickBooks, and payment status, vendors, and customers come back. Hours can also be pushed to QuickBooks Time for payroll.

Can we control who sees what?

Yes. Access is controlled by a role matrix covering every screen and action, with nineteen role types out of the box and the ability to scope a user to only the projects they are assigned to. You can edit the matrix yourself, and preview the app as any role to check it.

Where does our data live?

In your own Microsoft Dataverse environment, inside your tenant, under your existing security and compliance settings. We do not hold a copy.

Can you migrate what we already have?

Yes. Projects, contacts, rates, and historical costs can be imported from spreadsheets, Smartsheet, or QuickBooks as part of setup. That import is usually the first thing we do, because a demo on your own data is far more convincing than a demo on ours.
